Honorarium Recipient's RESIDENTIAL mailing address

Info
titleHonorarium payments are T4A reportable income as per Canada Revenue Agency (CRA) legislation

Please ensure the most up-to-date home mailing address is provided as this is where the Honorarium Recipient's future T4A will be mailed to.

3.

Honorarium Recipient's phone number

Note
  • Phone number is required to be provided by the department on EVERY Honorarium payment request that is submitted for an individual.
  • For past Honorarium Recipients, please confirm if their phone number has changed since their last Honorarium payment.
4.Name of event or description of why the Recipient is receiving the Honorarium
Info
titleThe description is important to ensure payment is processed correctly

Please be aware that Honorariums are token payments given as a gesture in kind to a person who had no expectation of receiving a payment for a service provided.

If your payment request results from expectation to receive payment for the service provided, please review How to Pay for Goods and Services article used to determine the appropriate process to pay for your acquired good or service as this can be complicated.

If there is not enough description to confirm what the Honorarium payment was for, a DP Admin may follow up for more information.

5.Date or date range the Honorarium payment is for
Note

The Honorarium payment should not be issued until after the gesture in kind has been completed.

6.

Depending on if you have paid this person in the past:

  • HAVE PAID IN THE PAST → Employee ID is required
  • HAVE NOT PAID IN THE PAST → Social Insurance Number (SIN) and Date of Birth (DOB) are required

Expand
titleWhy is only the Employee ID required for a past Honorarium Recipient?

There is no need to provide the DP Administrator with SIN and DOB again as the Honorarium Recipient would have been assigned a 7-digit unique identifier called the Employee ID upon resolution of the past Honorarium request.

That is why only Employee ID is required for future Honorarium submissions to the same person.

Expand
titleWhat is an Employee ID?

The Employee ID is a unique identifier for anyone who has been paid in the Data Processing system regardless if they are paid as an Employee or as a Service Provider or Honorarium Recipient. The Employee ID is now required in all requests for people who you have paid in the past as there is no longer a field for SIN or Date of Birth for security reasons.

The decision to remove SIN and Date of Birth as an identifier for individuals who have been paid in the past was implemented by ICT Security and the university's Security Officer. However, SIN and Date of Birth is still a requirement by CRA for anyone who has not yet been paid. For your information, the data in these fields is removed once the request has been resolved.

titleHow to locate an existing Honorarium Recipient's Employee ID

There are 2 methods to locate a previously paid Honorarium Recipient's Employee ID
1

EFFECTIVE JANUARY 16, 2021:

Locate the past Honorarium request for the Recipient and look at the resolved response at the bottom of the request from the Data Processing Administrator. The resolved response contains the Recipient's name and Employee ID in brackets.

2

PRIOR JAN 16, 2021:

If you have access to FAST: locate the past Honorarium request for the Recipient and obtain the CFOAPA that was used to pay the Honorarium. Once you have the CFOAPA, search the CFOAPAL in FAST. Click on the blue hyperlinks until you find the AU# in which you will see the Recipient's Name and Employee ID.

Expand
titleWhy is SIN and DOB required for a new Honorarium Recipient?
Info
titleSIN and DOB are required for a new Honorarium Recipient because:
  1. SIN is the personal identifier used between the University of Saskatchewan and the Canada Revenue Agency (CRA) for reporting and remitting T4A's.
  2. DOB is a 2nd personal identifier used by the DP Admin to ensure the correct individual is paid because often individuals share the same first and last names.

Once the Recipient's set up is complete in the university's system, the DP Administrator will provide a 7-digit unique identifier called the Employee ID upon resolution of the payment request. You would then use the Employee ID for any future Honorarium submissions you may have for this person.

Warning
titleIf SIN and DOB were collected after the Honorarium was submitted:
DO NOT PASTE THE SIN OR DOB IN THE REQUEST COMMENTS; INSTEAD:
  1. Leave a comment stating you now have the Honorarium Recipient's SIN and/or DOB information

  2. Provide the best contact number for the DP Administrator to reach you at as sensitive information should not be shared in the requests comments.

7.

Direct Deposit is now required to pay an Honorarium Recipient

Expand
titleIf you HAVE submitted an Honorarium for this person in the past

You likely have already provided the Direct Deposit information. No need to re-provide unless it has been more than 2 years since the Honorarium Recipient was last paid.

Expand
titleIf you HAVE NOT submitted an Honorarium for this person in the past

Direct Deposit information will need to be obtained from the Recipient and provided in the Honorarium eForm submission.

Info
Tip

It is best practice to attach the Service Provider Direct Deposit Form when you submit the Honorarium eForm.

The Honorarium Recipient can send the completed form directly to ConnectionPoint@usask.ca instead; however a ConnectionPoint agent will need to call them to verbally verify their information, which may delay the payment.

Note
titleIs this Honorarium payment for a Non-Canadian Resident?

If you are paying a Non-Canadian Resident in another currency other than CAD, please complete the Wire Transfer Form and attach it to the request.

Please note we do not send Wire Transfers to Canadian bank accounts.
